RSID is the University's inventory system for those using open sources of ionising radiation. It is used to register new users, log risk assessments, order and confirm the receipt of sources, record the usage of sources and log radioactive waste disposal. You can access RSID here.

Below you will find basic instructions for registering and completing risk assessments on RSID - the two actions necessary before starting work with open sources. If you would like to know how to complete other actions such as ordering nuclides and logging the disposal of radioactive waste, please refer to the RSID user manual (Downloads> Radiation Training> Inventory_Software_Training_Notes_v1.1pdf.).
Registration for a work permit is required for all those who will be handling open sources.
To begin, click the 'Apply' button on the login page - this will take you to the registration form.
Step 1: Tell us about yourself and your proposal
First, you should type in a login name and password (the login name should be the same as you use for your ISS login but the password should be unique to RSID). You should then fill in your personal details (names, date of birth, faculty etc.). Your RPS (Radiation Protection Supervisor) will usually be the same person as your Principal Investigator (PI).
You will then need to select the type of sources you will be working with and write a proposal for your project. The proposal should tell us what your project is about and why the source(s) you will be using are absolutely necessary for it.
Step 2: Tell us about your training and experience
Next you need to fill in the sections on your previous experience and the radiation protection training you've received.
Step 3: Finish
When you have filled in all the boxes, click 'Send Data'. This will send a notification of your application for a work permit to your Radiation Safety Coordinator.
Note: You will need to renew your work permit at the start of every academic year. You will be reminded of this by email and have until the end of October to re-register. You can renew your permit by logging in, selecting 'Registration Details' from the main menu and, once you have made any necessary changes to your details, clicking 'Send Data'.
You will need to fill out an assessment or be associated with an assessment for the specific nuclide that you will be using before you can start work.
Once you've logged in, select 'Assessments' from the menu page. You will then see a list of all of the assessments for your Faculty. If an assessment for the radionuclide and technique you wish to use has already been created for your group you can ask for your name (and product code if necessary) to be added to the relevant assessment and you do not need to create a new assessment yourself.
To create a new assessment, select 'New Entry' and the risk assessment form you need to fill out will appear. Your department and group should be filled in automatically.
First you need to complete the justification section
You will need to confirm that alternative non-radioactive methods have been considered and discounted and explain why you are using radioactive material.
Then you can start filling in data about which radionuclide you will be using, how much you will be using, and how you will be handling and dispensing it.
You should select the correct radionuclide from the drop-down list. This will cause the radiation hazard section to be filled-in automatically.
Next you will need to choose the catalogue reference (manufacturer's product code) for the specific radionuclide you will be using. If your code is not on the list please contact the RSID helpline (contact details above) and ask for it to be added to the catalogue. Note that you can add further catalogue codes to an assessment after it has been completed by using the 'New Catalogue Reference' box.
Then you should enter the quantity you wish to order (don't forget to check that you are using the right units!) and the maximum amount (activity) you will be using per experiment. You will then need to enter how long you will spend pipetting and handling the source, how many times a year you will be doing it, and what dispensing method you will be using.
Now enter the project's hazard category - you should have discussed this with your RPS when planning your experiment and deciding which room it will be held. This will usually be 'Work in a Supervised Area' unless you are using very low activities. You can add any additional details about this in the 'Comment' box.
If you wish to add another user to your assessment, you can select a member of your group in the drop-down menu next to 'New User'.
You should then select the appropriate rooms for using and storing the source from the drop-down menus. Make sure that the room you choose corresponds with the hazard category you selected above.
Then you need to fill out the start and end dates for you work and write a description of the work technique you will be undertaking.
When you have done this, click the 'Calculate dose' button to see your estimated exposures for using this source.
You should check that the 'Radiation hazard' section contains the correct data and add any additional control measures that you will use.
Finally fill out the 'Estimated Waste Disposal Route Percentages'. These should add up to 100% and will be used as the default values when making a disposal from this source but can be changed when entering a disposal record.
Once you have clicked 'Save', the assessment will be sent to your Radiation Safety Coordinator (RSC) for approval. Only when the assessment has been approved can you use the assessment and begin your experiment. If you edit your assessment later, it will need to be re-approved by the RSC.
Once the assessment has been saved you can add further Catalogue References, Users, and Usage Rooms by using the 'New Catalogue Reference', 'New User', or 'New Usage Room' boxes and clicking 'Save' each time.
